The Opportunity
This is a rare opportunity to step into a pivotal role working alongside a dynamic leader. Kelly is seeking a financial and operations leader — someone who will take full ownership of the financial health of the firm while bringing entrepreneurial energy to every aspect of operations. You'll be accountable for the numbers that drive our business, translating financial data into strategic insights that inform how we grow.
Working in lockstep with Kelly, you'll ensure our business infrastructure evolves as ambitiously as our design work. This role is for someone who sees the bigger picture — who understands that financial clarity enables creative excellence, and that operational systems are the foundation of sustainable growth.
Key Responsibilities
Financial Leadership
- Own the complete financial health of the firm, including budgeting, forecasting, and cashflow management.
- Build and maintain financial dashboards that track KPIs and project performance with precision.
- Prepare and present monthly financial reports to Kelly on company profitability, cashflow, and strategic metrics.
- Lead all client invoicing and communicate proactively with clients about project status and financial progress.
- Monitor project profitability in real-time, providing insights that inform decision-making.
- Supervise bookkeeping functions (AP/AR, payroll, reconciliations) and liaise with external accountants.
- Ensure seamless compliance with CRA requirements and financial best practices.
Operational Excellence
- Oversee contract management for all projects, ensuring accuracy, compliance, and risk mitigation.
- Develop and refine systems that streamline project delivery — tracking, job costing, and vendor management.
- Implement tools and workflows that scale with our ambitions.
- Oversee office operations, creating an environment that inspires our team.
- Represent the firm with sophistication in all client-facing and partner interactions.
- Bring fresh perspectives to operational challenges and growth initiatives.
- Help shape long-term strategy with an entrepreneurial, forward-thinking mindset.
People & Culture
- Manage all HR administration including onboarding, contracts, benefits, and compliance.
- Lead recruitment efforts to build a team that reflects our values and vision.
- Navigate HR matters with emotional intelligence and professionalism.
- Ensure compliance with BC employment standards and workplace safety regulations.
Who You Are
You're a strategic, detail-oriented leader who sees financial clarity as the foundation of business excellence. You're equally comfortable diving into Excel as you are presenting financial updates to Kelly and the team with confidence and clarity.

Essential Qualities
- Post-secondary education in Business Administration, Finance, or related field.
- 7+ years of business management or operations experience, ideally in a creative or professional services environment.
- CPA designation an asset.
- Strong financial acumen and experience with budgeting, forecasting, and strategic planning.
- Experience in the design, architecture, or creative industries.
- Knowledge of Canadian employment law and CRA requirements.
- Polished, articulate communication skills with the ability to represent the firm confidently to clients and partners.
- Exceptional organizational abilities and comfort juggling competing priorities.
- Self-motivated, proactive, and energized by the opportunity to shape outcomes.
- Proficiency in accounting software (QuickBooks, Xero), Microsoft Office Suite, and general technology savvy.
- Entrepreneurial spirit with a proven track record of driving growth and improvement.

Compensation: $80,000 - $95,000 annually, depending on experience.

The Opportunity
As we enter our next chapter of growth, we're seeking an accomplished Bookkeeper to oversee the day-to-day financial operations of our company. This is a trusted role at the heart of our operations—requiring precision, discretion, and a commitment to maintaining the highest standards of financial accuracy and organization. The ideal candidate brings seasoned expertise, a service mindset and thrives in an energizing, high volume, and design-focused environment.
Key Responsibilities
Bookkeeping and Financial Management
- Maintain complete and accurate general ledgers for three related companies, ensuring timely entry and reconciliation of all transactions
- Manage accounts payable and receivable, including supplier payments, client invoicing, and expense processing
- Reconcile bank, credit card, and intercompany accounts monthly
- Support project accounting and expense allocation with accurate reporting for management review
- Prepare and file GST/PST remittances and other statutory filings
- Coordinate year-end preparation and serve as primary liaison with external accountants
Payroll and Benefits Administration
- Process payroll accurately and on schedule in full compliance with BC employment standards
- Manage employee benefits enrollment, changes, and ongoing administration
- Prepare payroll reports, ROEs, and annual T4s
- Maintain confidential employee records with the utmost discretion
Financial Reporting and Support
- Prepare monthly and quarterly financial summaries and cash flow updates for leadership review
- Provide financial insights to support operational and project-related planning
- Maintain organized systems for both digital and physical financial records
Working Conditions
- Office based
- On-site to start; hybrid option - in-office presence required 3 days per week after 6 months of employment at office located in Vancouver BC
- Flexibility required during month-end and year-end close periods
Qualifications
- Minimum 7 years of progressive bookkeeping experience, ideally within a small business or professional services setting
- Post-secondary education in accounting, bookkeeping, or equivalent experience
- Strong working knowledge of payroll processing, benefits administration, and CRA compliance
- Demonstrated experience managing multiple entities
- Proficiency with QuickBooks Online and Excel/Google Sheets
- Natural affinity for, and curiosity about technology and systems
- Sound business acumen; understands big picture
